Pilot draft
Privacy Policy
Last updated: October 11, 2026.
This Privacy Policy explains how GRADUS collects, uses, shares and protects personal information during the pilot. It should be read with our Terms of Use.
1. Who we are
GRADUS operates the GRADUS platform and is responsible for personal information collected through it.
Operator: GRADUS
Epworth Ave, London, Ontario, Canada
Phone: (226) 289-7444
2. Privacy Officer
GRADUS has designated a GRADUS Privacy Officer. Privacy questions and requests to access, correct or delete personal information, and privacy complaints, can be sent to alex@joingradus.ca or coulter@joingradus.ca.
3. Information we collect
- Account and profile information, such as name, email, role, photo, location and profile details.
- Education and work history you add to your profile.
- For professional accounts, information reviewed during verification, such as employment or education details, a LinkedIn profile or other information you supply for review.
- Availability, invitations and bookings.
- Messages exchanged between conversation participants.
- Private notes a professional keeps about a conversation.
- Profile-view and product usage analytics.
- Payment and transaction metadata, such as amounts, status and payment-provider references. Card details are handled by our payment provider, not stored by GRADUS.
- Support requests and conversation issue reports.
4. Why we use it
We use personal information to:
- create and manage accounts and profiles;
- help professionals find students and send invitations;
- schedule, run and manage conversations, including reminders;
- process payments, refunds and payouts;
- provide support and review reported issues;
- keep GRADUS safe, prevent fraud and enforce our Terms;
- understand and improve how GRADUS is used; and
- meet legal, accounting and tax obligations.
5. Profile visibility and communications
Profile information you choose to publish is visible to other signed-in GRADUS users as part of the marketplace. Messages and conversation details are available only to the participants of that conversation. A professional's private notes are not shared with the student or with other ordinary GRADUS users. Authorized GRADUS administrators may access records, including private notes, when reasonably necessary for support, safety, disputes, security, or legal obligations.
6. Professional verification
GRADUS may manually review professional profile information to help confirm that professionals are genuine and to support fraud prevention, trust and safety.
Review may consider profile information, employment or education details, a LinkedIn profile, and other information the professional supplies. Verification status and internal review notes may be stored and used by authorized GRADUS administrators.
If key professional information changes, GRADUS may require the profile to be reviewed again.
This review is not a criminal, credit or formal background check, unless GRADUS separately states otherwise.
7. Service providers
We use third-party service providers to run GRADUS, including Supabase for hosting, database, authentication and storage, Stripe for payments and payouts, and email-delivery infrastructure for account and booking emails. These providers process information on our behalf and under their own terms. Depending on provider infrastructure, personal information may be stored or processed outside Ontario or Canada, and may be subject to the laws of those jurisdictions.
GRADUS does not sell personal information.
8. Retention
We keep personal information only as long as reasonably needed to provide GRADUS, meet legal and accounting requirements, and address fraud, security and disputes. Deleting an account may not remove records we are legally required to keep, such as transaction records.
9. Safeguards
We use reasonable administrative, technical and physical safeguards, including access controls that limit data to the people who need it. No system is completely secure.
10. Access, correction, deletion and complaints
You can update most profile information in your account. To request access to, correction of or deletion of your personal information, or to make a complaint, contact the GRADUS Privacy Officer at alex@joingradus.ca or coulter@joingradus.ca. We may need to verify your identity. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
11. Account closure and suspension
You may ask us to close your account. If an account is closed or suspended, we may keep information as described in Retention, for example to complete transactions, handle disputes or meet legal obligations.
12. Changes to this policy
We may update this policy as GRADUS changes. We will change the date at the top when we do and, for significant changes, take reasonable steps to let you know.
